How to Never Run Out of Diffuser Oil Again
Running dry on a Saturday is the most common scent-machine problem in business. A simple system for tracking use, reordering on time and keeping a spare.
A scent machine that runs dry is invisible until a regular customer walks in and something feels off. In a business, the scent is part of the experience, so running out is like the lights going out. Here is a simple system.
The short answer
Measure your monthly use once, keep one spare bottle on site, and put the reorder on a schedule. That is all it takes.
Step 1: Measure your use
Mark the oil level on the bottle with a small piece of tape on the first of the month. Check it on the last day. That is your monthly use. Or calculate it with our business oil formula.
Step 2: Choose the right bottle size
Pick a size that lasts at least a month, ideally two:
- Using under 250 ml a month: 500 ml
- Using 250 to 500 ml a month: 1 litre
- Several machines: one litre per machine per cycle
Step 3: Keep one spare
The single best habit. When you open the spare, order the next one. You will never be caught out by a shipping delay.
Step 4: Put it on a schedule
A standing order delivers the right amount on the right date. Nobody needs to remember.
Step 5: Add it to the checklist
Add "check scent oil level" to the weekly opening or closing checklist, next to restocking the washroom.
Signs you are about to run out
- The scent seems weaker even though you have not changed settings
- The machine sounds different, or the app shows a low level
- Staff say they cannot smell it (they usually cannot, but customers can)
If you do run out
Check the machine's setting has not been changed, wipe the bottle connection, then fit the new bottle and run a short test cycle.
Our concentrates are selected and bottled in Toronto in 120 ml, 500 ml and 1 L. Our concentrates are made for waterless (cold-air, nebulizing) diffusers that have a refillable oil bottle. They are not for water (ultrasonic) diffusers or sealed-cartridge machines.
Quick answers
How do I know when my diffuser oil is running low? Mark the level, check the app if your machine has one, and notice when the scent fades at the door.
How much spare oil should a business keep? One full bottle on site at all times.
Can I get diffuser oil delivered automatically? Yes, set up a recurring standing order.
