Questions to Ask a Wedding Scent Designer Before You Book

The questions couples and planners should ask before hiring anyone to scent a wedding, from the tasting and room coverage to venue rules, sensitivities and food areas.

Hiring someone to scent your wedding is a little like hiring a florist whose work you can't see. The result is invisible, so the best way to judge a provider is by how well they answer your questions. Whether you're a couple planning your own day or a planner sourcing vendors, here are the questions worth asking anyone before you book them to scent a wedding, and what a good answer sounds like.

The tasting

"Can we smell the scent before we commit?" A good answer: yes, always, either in person or with samples and a guided session. Descriptions are useful for a shortlist, but you need to smell a fragrance to know it. Ideally you try a few side by side and spend a few minutes with your favourite, because first impressions change.

"Will you help us choose, or do we pick from a list?" Look for someone who asks about your venue, the season, your flowers and the feeling you want before suggesting anything. Our guide to choosing a signature wedding scent explains what to weigh.

Coverage, room by room

"Which spaces would you scent, and how differently?" A good answer treats each room on its own terms rather than "everywhere, the same". A considered plan might look like this:

"How do you decide how strong it should be?" The best answer is "lighter than you'd expect". A large review of ambient-scent research found that the benefits of scent grow more slowly as intensity rises, which points to a sweet spot rather than "more is better" (Roschk and Hosseinpour, 2020). Scent should be noticed on arrival and then fade into the background. If guests are still commenting on it after ten minutes in the room, it's too strong.

Setup and collection

"When do you arrive, when do you leave, and who handles the equipment?" You want a specific answer that fits the venue's load-in and load-out windows. A good provider brings everything, sets it up and collects it afterwards, so nothing is left for your planner or the venue to sort out at the end of the night.

"Is anyone on hand during the evening?" Rooms change as they fill and empty. Some providers offer an attendant who adjusts levels through the night. Ask whether that's included or an add-on.

Venue rules

"Will you confirm everything with our venue?" Venues can have rules on fragrance, equipment placement, power, setup times and insurance. A good answer is "yes, we'll speak to them directly", or at least "here's exactly what to ask". Our venue tour tips include the questions to raise on your visit.

Guests who are sensitive to fragrance

"How do you look after guests who'd rather not smell anything?" This question tells you a lot. Canada's workplace safety agency notes that people report reactions to scented products ranging from mild irritation to severe symptoms (CCOHS). A considerate provider will suggest keeping levels light, leaving at least one area scent-free, and not scenting right beside seats where people stay for hours. Food and drink

"What happens near the food?" A good answer: very little. Smell plays a large part in how food tastes (Arizona State University, Ask A Biologist), so dining tables, buffets, the bar and the cake table should be kept subtle or unscented. Your caterer will thank you.

Timeline and terms

"How far ahead should we book, and what happens when?" Look for a clear sequence: first call, tasting, confirmation, final details, the day. Ask when the deposit is due and what it secures.

"What happens if our plans change?" Ask for the deposit and date-change terms in writing before you pay anything. A provider who explains them plainly up front is usually easy to work with later.

What you keep

"Do we take anything home?" Ask whether you'll keep your wedding scent so you can open it on your anniversary. Ask too about favours for guests and gifts for the wedding party in the same scent. See wedding favours guests keep.

"What standards does the fragrance meet?" A good answer names them. IFRA compliance is the standard to ask about.
