Event Scenting in Toronto: How a Signature Scent Service Works
What event scenting is, which events it suits, how a signature scent service works step by step, what shapes the quote, and what to ask any provider in Toronto.
A signature scent is the one detail at an event that guests can't photograph but almost always remember. Event scenting is the craft of giving a wedding, gala or launch its own fragrance, chosen with intention and placed so it welcomes people without overwhelming them. If you're planning an event in Toronto or elsewhere in Southern Ontario and wondering how a scent service actually works, this guide walks you through it: what it is, which events it suits, what happens step by step, what shapes the quote, and what to ask before you book anyone.
What event scenting is
Event scenting means choosing one fragrance (occasionally two, for very different spaces) and diffusing it through the rooms your guests move through, at a level that is noticed on arrival and then settles into the background. It is usually done with nebulizing scent systems, which turn fragrance oil into a fine, dry mist without heat or flame, along with quieter touches such as reed diffusers in a washroom or a getting-ready suite.
Why go to the trouble? Scent is closely tied to memory. In one study, memories brought back by smells came with a stronger feeling of being transported back in time than memories cued by words or pictures (Willander and Larsson, 2006). And a large review of ambient-scent research found that pleasant scents lifted people's mood, their evaluations of a place and their memories of it, with the effect strongest when the scent suited the setting and was kept simple (Roschk and Hosseinpour, 2020). For an event, that means a well-chosen scent helps a room feel finished and gives the occasion something guests carry home with them.
Events it suits
- Weddings and ceremonies: the getting-ready suite, the ceremony entrance, cocktail hour and the reception. Our wedding ceremony scent guide covers the moment of the vows in detail.
- Galas and fundraisers: the foyer, coat check and the reception before dinner.
- Product launches and brand activations: an entrance moment that makes the brand feel complete.
- Milestone celebrations: anniversaries, significant birthdays, engagement parties, showers and rehearsal dinners.
- Corporate and client events: appreciation evenings, private dinners and openings.
The common thread is a space people walk into with anticipation. Scent does its best work at thresholds.
How a scent service works, step by step
A good provider follows a clear process, so you always know what comes next. Ours has four steps.
- A complimentary video call. We talk through the date, the venue, the number of guests, the rooms you'd like scented and the feeling you're after.
- A private consultation and tasting. In Toronto this happens in person: you smell the fragrances side by side and choose your signature. A consultation fee applies and is credited in full toward your event if you go ahead. Outside Toronto, we send a tasting box by courier and guide you through it on a video call.
- A deposit reserves the date. Your package is confirmed and the date is held for you.
- The day itself. We bring our scent systems and fragrances, scent the spaces, and collect everything afterwards. Couples receive a keepsake gift of their wedding scent.
What drives the quote
Every event is different, so a responsible provider quotes after a conversation rather than from a fixed list. The main factors are:
- The size and shape of the space. High ceilings, open-plan halls and rooms that open onto a terrace need a different approach from a private dining room.
- Guest count. More people means more movement, more doors opening and more air changing through the evening.
- How many rooms. A ceremony, cocktail hour and reception in three separate spaces is a different plan from a single ballroom.
- Add-ons. Scent favours for guests, gifts for the wedding party, a keepsake for parents, scenting a shower or rehearsal dinner, or a scent attendant for the evening.
Our packages, Intimate, Signature and Grand, are sized by space and guest count, and we quote after the first call.
What to ask any event-scent provider
Whoever you hire, these questions separate a considered service from a machine drop-off. We go deeper in questions to ask a wedding scent designer.
- Can I smell the scent before I commit? Never choose a signature from a description alone.
- How do you decide how strong it should be? Listen for "lighter than you think". The review above found that the benefits of scent grow more slowly as intensity rises, so more is not better.
- How do you treat dining areas? Smell is a large part of how food tastes (Arizona State University, Ask A Biologist), so tables and buffets should be kept subtle or unscented.
- What about guests who are sensitive to fragrance? Canada's workplace safety agency notes that people report reactions to scented products ranging from mild to severe (CCOHS). A thoughtful provider will keep levels light and suggest a scent-free area.
- Have you checked the venue's rules? Venues can have policies on fragrance, equipment and setup times. Ask who confirms them.
- Who sets up and collects, and when? You want one clear answer and no loose ends at midnight.
- What standards does the fragrance meet? Ours are IFRA-compliant and made without phthalates, parabens or formaldehyde. Here is what those labels mean.
How we do it at Velour and Vellum
Our wedding and event scenting service is built on the same hotel-inspired fragrances we make for homes and businesses: Thé Blanc, Grand Foyer, Santal Vellum, Ambre Safran, Cèdre Noir and Velours Rose, plus Vellum Amour and L'Eau de Verre, which we use for weddings.
- Where we work: across the Greater Toronto Area, and we travel across Southern Ontario. Further afield is quoted on request.
- When to book: ideally three to six months ahead, and at least eight weeks before the event.
- Peace of mind: the deposit is refundable up to 90 days before the event, and you can change the date once within 12 months.
- Planners and venues: we work with them too, so your planner can be part of the conversation from the first call.
- Our approach: present at the entrance, subtle around food and the ceremony, and a scent-free area for anyone who would prefer one.
If you'd like to get to know the collection at home first, The Hotel Edit Discovery Set is an easy way to start a shortlist. To talk about your date, book a complimentary video call on our weddings and events page, or write to the Curator, a real person, at [email protected]. Our broader wedding and event scenting guide is a good companion read.
Quick answers
Is there an event scenting service in Toronto? Yes. Velour and Vellum offers wedding and event scenting across the GTA and Southern Ontario, starting with a complimentary video call.
How far ahead should I book event scenting? Ideally three to six months ahead, and at least eight weeks before the event.
How much does event scenting cost? It depends on the space, guest count, number of rooms and any add-ons, so a good provider quotes after a short call rather than from a fixed list.
Will scent at an event overpower the food? It shouldn't. Dining areas should be kept subtle or unscented, with fragrance focused on entrances and lounges.
Can I try the scent before my event? Yes. In Toronto we hold an in-person tasting; outside Toronto we courier a tasting box and guide you through it by video.
Who takes the equipment away after the event? We do. We collect our scent systems and fragrances afterwards, so there is nothing for you or the venue to pack up.
